Code of Conduct

Introduction

The Tutor Centre (Tutorica Academy Tutor Centre Pty Ltd) is committed to providing a supportive and productive learning environment for all students and tutors. To ensure a positive experience for every student and tutor, we have established this Code of Conduct that outlines the expected behaviour and responsibilities of all individuals using our services.

We ask that you adhere to these guidelines to create a safe and respectful environment and a conducive learning atmosphere for learning.

General Rules

Respect

Students are expected to treat tutors, staff and fellow students with respect, valuing diversity and different perspectives. No ill manner of speaking towards tutors or fellow students will be allowed.

Professionalism

Learners will conduct themselves in a professional and respectful manner at all times, when working with students, parents and fellow tutors.

Punctuality

Learners are expected to be on time for all tutoring hours and extra-class hours and arranged appointments with fellow tutors or parents.

Preparation
Learners are expected to be adequately prepared for daily learning sessions, having reviewed any relevant materials and resources.

Honesty
Tutors are required to provide accurate and honest feedback and guidelines to students, avoiding any form of academic dishonesty.

Cell phones and Distractions

No cell phones are allowed in the classroom. If the student needs the cell phone for matters with regards to transportation his/her phone must be turned off and put away in his/her school bag. Distractions must be minimised during tutoring hours. In case of emergency parents are allowed to contact Tutorica Academy directly. We do not take responsibility for any loss with regards to students losing their cell phone. Cell phones will be confiscated if students use them while facilitation is taking place.

Cleanliness

Tutors and Students are responsible for maintaining a clean and organised workspace within the Tutor Centre. The classroom and bathrooms are to be kept clean and tidy at all times after each use.

Food and Beverages

To preserve the condition of educational materials food and beverages are only allowed at given break times at Tutorica Academy. Not during tutoring sessions.

Disruptive Behaviour

Disruptive behaviour will not be tolerated, the student will be given 3 written warnings and if the disruptive behaviour still continues after 3 warnings were given, parents will be contacted and further steps will be taken.

At Tutorica Academy we have a ZERO Tolerance for bullying. We see this as a VERY important matter. Any form of bullying whether it is verbal or physical will NOT BE tolerated.

Tutorica Academy strives to provide a friendly and safe environment for our students.

Consequences and violations

Violation of this Code of Conduct may result in consequences, including but not limited to verbal warnings, suspension of tutoring privileges, or referral to the appropriate disciplinary authority. 

Disciplinary Procedure

  • Verbal warning will be given to the student and the parents will be informed.
  • Two written warnings will be given to the student and the parents will be informed.
  • Final suspension.

Grounds for Suspension

The following can lead to suspension with immediate effect:

  1. Disrespect towards tutors and fellow students.
  2. Leaving the premises without permission.
  3. Smoking, Vaping or having possession of drugs.
  4. Any form of bullying
  5. Any form of language used in an ill manner.
  6. Vandalising the centre and the centre’s property.
  7. Any form of unacceptable behaviour.

Conclusion

By using the services provided by Tutorica Academy, you agree to abide by this Code of Conduct. We believe that a respectful and focused learning environment benefits everyone involved. Thank you for your cooperation.

Enrolment Agreement

As the Guardian of an enroled learner at Tutorica Academy, you agree to the following terms and conditions:

  1. The learner will be required to adhere to the rules and regulations along with Tutorica Academy’s code of conduct.
  2. All fees and charges will be paid in advance, on or before the 3rd of each
    month.
  3. In the event of late payment (outstanding balances), Tutorica Academy reserves the right to discontinue any account, summarily cancel any agreement relating to credit terms, and refuse the learner admission at the centre.
  4. Before removing the learner from the centre, a full quarter’s (3 calendar months) written notice will be sent to mary@tutorica.co.za. Failing to do so will result in a full quarter’s (3 calendar months) fee, payable in lieu of notice.
  5. Parents/Guardians are jointly and severally liable for the payment of all fees, and undertake to pay all attorney and client costs and collection commission in the event of the learner’s account being handed over for collection.
  6. Parents/Guardians undertake to pay our accounts on/before the 3rd of each month. In the event of payment of any outstanding amount not being made on/before such due date, interest will be payable on any outstanding amounts at a rate of 2% per month.
  7. All fees are paid monthly in advance. Fees must be paid via the EFT option into the Tutorica Academy bank account, using the learner’s Tutorica student number as reference.
  8. Fees will be invoiced to the person(s) named on the registration form.
  9. Fees are payable during periods of absence from the centre, including an illness and any holidays taken when the centre is open. Any parent/guardian having financial difficulties or a change of
    circumstances should discuss this in confidence with the owner.
  10. Our fee structure undergoes an annual review. Any increase in fees will be notified by the centre at least 2 months in advance.
  11. This agreement will remain in effect for the duration of the Learner’s enrolment at Tutorica Academy.

Indemnity Agreement

As the Guardian of a student enroled at Tutorica Academy Tutor Centre, I acknowledge and agree to the following terms and conditions:

  1. I understand that the Tutorica Academy Tutor Centre staff will provide care, supervision, and activities for my child during the specified program hours.
  2. I agree to provide accurate emergency contact information, including phone numbers and authorised individuals who may pick up my child in case of an emergency.
  3. I authorise Tutorica Academy Tutor Centre staff to seek necessary medical attention for my child and I agree to be responsible for any medical expenses incurred.
  4. I understand that Tutorica Academy Tutor Centre will take reasonable precautions to ensure my child’s safety during their time in the program. However, I release Tutorica Academy Tutor Centre, its staff, and affiliates from any liability for accidents, injuries, or any other unforeseen events that may occur during my child’s participation in the program.
  5. I acknowledge that my child is responsible for their personal belongings. Tutorica Academy Tutor Centre is not responsible for any loss or damage to personal items brought to the program.
  6. I agree that my child will follow the rules and code of conduct established by Tutorica Academy Tutor Centre. Failure to do so may result in disciplinary actions, including dismissal from the program.
  7. I understand and agree to the payment terms and schedule outlined by Tutorica Academy Tutor Centre.
  8. Tutorica Academy Tutor Centre reserves the right to terminate my child’s enrolment in the program for any reason, with proper notice, and without refund.
  9. I consent to the use of photographs or videos of my child for promotional, social media or documentation purposes related to the Tutorica Academy Tutor Centre program.
